Step 1 – Welcome Email and Welcome Package
We kick off our partnership by sending a warm welcome email, thanking you for choosing Clever Bean Bookkeeping Solutions. This email includes:
- A detailed welcome package with an engagement letter, proposal, project description, executive summary, company overview, and cost summary.
- A clear contract outlining the services, confidentiality terms, involved parties, timelines, and approval/signature requirements.
- An attached invoice for any agreed-upon services.

Step 2 – Client Onboarding Questionnaire
To streamline our work, we’ll send you a client onboarding questionnaire that collects all the key information we need. This form will ask for:
- Business name, address, and contact details
- Bank account numbers and vendor logins
- Payroll information and banker contacts
- Tax ID numbers (federal, state, local)
- Business goals and your preferred method of communication

Step 3 – Signed Documents and Payments

Step 4 – Client Kickoff Meeting
We then schedule a team meeting with you to go over all the relevant business information. This kickoff meeting includes:

- Explanation of the workflow process and next steps
- Open Q&A to ensure full alignment
We want to make sure you’re comfortable with the plan and know exactly what to expect.
Step 5 – Follow-Up and Next Steps
After our kickoff meeting, we send a follow-up ‘thank you’ email to acknowledge the meeting and reiterate the next steps in the process. You’ll always know what comes next, and we’re here to answer any questions as they arise.
Step 6 – Written Summary and Plan
Following the initial meeting, we provide a detailed write-up summarizing the meeting and outlining the plan we’ll use to meet your financial goals. This document includes clear expectations, turnaround times, and the processes we’ll follow moving forward. You’ll have everything in writing to refer back to at any time.
Step 7 – Ongoing Monthly Check-In
Our commitment doesn’t end after onboarding. We schedule monthly check-in calls to ensure everything is on track and answer any questions that may have come up. While we keep these check-ins consistent, we’re always available to assist you anytime in between.
